How to send an email from your Virgin Media email account

  1. Enter your My Virgin Media sign in details at mail2.virginmedia.com and go to Compose.

  2. Type your message. Use the toolbar options to change your formatting, font or text colour, as well as the Attachments button to add files (documents, photos) to your email from your device.

  3. Give your email a title in the ‘Subject:’ box. and put the recipient’s email address in ‘To:’ – you can add more people’s by pressing the spacebar or press ‘x’ next to it to delete an address.

  4. Select Options (or from a laptop/desktop) and you can label your email as High, Normal or Low importance, attach your electronic business card (vCard) or request a delivery receipt to know your message reached their Inbox.

  5. From a laptop or desktop you can select one of your other email addresses in the ‘From:’ box to send your Virgin Media Mail using a different account.

  6. Press Send, when you’ve finished your email.



How to send a bulk email

Step 1) Create a distribution list in your Address Book Using a laptop/desktop, open Address Book (top of screen) > New Contact > New Distribution List – add a List Name and your contacts’ names and email addresses > Create List. Before subscribing people to your distribution list, please:

  • Verify that each email address has opted-in for your messages through a subscription email or checking a box on a web form or software voluntarily.

  • Do not buy email addresses from third-parties or subscribe people by default with a checkbox requiring them to opt-out of mailings.

Step 2) Meet Virgin Media Mail’s standards to email in bulk

To send your bulk emails, Virgin Media Mail must be able to identify you, so always use:

  • A consistent IP address and valid reverse DNS records, pointing to your domain. If you’re sending promotional and transactional mail, have a different domain and/or IP address for each.

  • The same address in the ‘From:’ header on all your bulk emails. If you’re sending promotional and transactional email, use a separate email address for each.

  • And don’t try hide the message’s true sender or any web links’ true landing page. This could stop us sending your email.

Publishing an SPF record, as well as signing with DKIM or DomainKeys, is recommended.

If others use your service to send mail (for example: ISPs), you must have:

  • An email address for abuse to be reported to. Example: ‘abuse@yourdomain.com’

  • Correct contact information on your WHOIS record and abuse.net

  • Your affiliates monitored. If your brand gets associated with affiliate marketing Spam, your mail and your other affiliates’ can be affected.

  • Spammers removed: affiliates, users and clients using your service to send Spam mail must be stopped.

Having your bulk email’s ‘From:’ address listed in someone’s Contacts helps your message arrive in their Inbox, so why not ask to be added? You also shouldn’t have delivery problems when they click ‘Not Spam’ to tell Virgin Media Mail they want your message – sometimes our Spam filters flag legitimate messages – or there’s no guarantee your mail will get through.

While Virgin Media Mail can’t accept whitelisting requests from you, bulk senders, you can try to protect your Inbox delivery rate – here’s what will help you avoid being flagged as Spam:

  • Indicate the email address that was subscribed to your list, in case the person forwards your email to other accounts who don’t know where it came from.

  • Unsubscribe people whose addresses bounce several emails.

  • Send a confirmation message from time to time that shows – and gives people a chance to unsubscribe from – your mailing lists they’re signed up to. As well as your usual option to unsubscribe, add a ‘List-Unsubscribe’ header to your message that links to a web form or email address where people can opt out of your messages.

Step 3) Use the ‘Precedence: bulk’ header field and format emails correctly Type the List Name when choosing who ‘To:’ address your bulk email. But before pressing Send, your message must:

  • Have an honest subject line, relevant to your email’s content, that isn’t misleading.

  • Format HTML messages to w3.org standards. All other bulk emails should be to RFC 2822 SMTP standards.

  • Give readers the option to unsubscribe from your mailing list in all your bulk messages (see below).

Mailing list managers, you’ll probably find the URL method easiest – let people click a link, unsubscribe them automatically, and take them to a confirmation page that says you’ll no longer message them. Or people should be able to ‘Reply-to:’ your bulk email, asking to opt-out of your mailing list.


What is virgin media’s email sending limits

Send a message to more than 500 recipients or a large number of undeliverable emails and your account will be temporarily locked and disabled for up to 24 hours – it’s Virgin Media’s way of stopping abuse and spam. This can also be triggered when unsupported third-party software accesses your account or your entire Virgin Media mail account is downloaded to another mail app.

You can send a message to 100 people on Microsoft Outlook or Apple Mail – Instant Message Access Protocol (IMAP) or Post Office Protocol (POP) email apps.


How to send a copy of an email

While composing your message, select the CC button next to your ‘To:’ box to send a copy of your email to several addresses. Or you can hide your recipient’s addresses and names from each other using the BCC option.


How to add an email signature

To set up your email signature from a desktop/laptop, click on the cogwheel icon and go to > Email then click > Signatures > Add New Signature. From a mobile, click the circular icon in the top right of the screen and select >Settings. Tap the arrow lined up with Email to expand the options then > Signature. Name your signature in the popup widow and write your text, such as your contact information > Save.

To attach a signature to every email automatically, return at any time to Signatures and select the one you want.


Why are my emails not sending?

Message returned as undelivered

  • Typos: Check their address was spelt correctly.

  • Wrong address: Contact your recipient to confirm their email.

  • Technical issues: Perhaps it’s a temporary glitch, if you’ve emailed them fine before you can try again later. Or maybe their address was deleted or inactive. See the diagnostic code near the top of the bounce message or Delivery Status Notification for the reason your message failed.

Email did not send

If your message is in your Sent Mail folder, check it was addressed to the right email. Or check your Drafts – it could’ve been auto-saved without sending.

Message was never received

Ask your recipient to check their junk mail folders. Not there? Ask if they can try lowering their spam filters as some webmail providers will mark your Virgin Media Mail messages as such, stopping you getting through.


How to add an attachment to an email

Drag and drop a file from your desktop or laptop to the email window or click the paperclip icon to choose an attachment from your files. For mobile tap Attachments while composing your message and choose from your files. To delete an attachment, tap the attachment and then the trashcan icon to remove it from your message.

Maximum attachment size

Files can’t be more than 25MB, including the encoding data that Virgin Media Mail adds to all email attachments. Sometimes 22MB to 25MB attachments are too big and a notification will say you’ve exceeded the limit. Images inline in your message, such as pictures between your paragraphs, can be up to 8MB (24 megapixel resolution).

Blocked email attachment file types
